Position Overview:
We are seeking a highly skilled and motivated Finance and Office Manager to lead a high performing team. This dynamic role combines financial oversight with office management responsibilities to ensure the company’s financial health and operational efficiency. The ideal candidate will have strong experience in financial management, be detail-oriented, and possess excellent leadership skills to manage office operations effectively.

We are seeking a highly skilled and motivated Finance and Office Manager to lead a high performing team. This dynamic role combines financial oversight with office management responsibilities to ensure the company’s financial health and operational efficiency. The ideal candidate will have strong experience in financial management, be detail-oriented, and possess excellent leadership skills to manage office operations effectively.
Key Responsibilities
- Oversee the complete Xero accounting system, ensuring accurate financial recordkeeping and reporting.
- Process supplier invoices post-Operations Director review and maintain efficient accounts payable processes.
- Perform daily bank reconciliations and generate regular comprehensive financial reports for management review.
- Manage supplier payments and statement reconciliations to maintain strong business relationships.
- Ensure financial compliance with all regulatory requirements and maintain appropriate documentation.
- Supervise office staff, ensuring smooth daily office operations and productivity.
- Gradually assume payroll responsibilities from the existing staff member, ensuring a seamless transition.
- Administer fleet registration, road user charges, and other related documentation.
- Collaborate with the part-time Financial Support role to assist with the creation of employment contracts.
- Prepare and manage all building contracts exceeding $30K, ensuring legal and financial compliance.
- Implement automation solutions for invoice processing into Xero, utilizing AI or existing Xero features.
- Develop and maintain company policies and mission statements, ensuring they reflect organizational values and legal standards.
- Accounting qualification coupled with substantial experience in financial management.
- Experience with Xero accounting software is essential.
- Experience in contract management, particularly within the construction industry, is highly preferred.
- Strong leadership skills and the ability to effectively manage personnel.
- Excellent organizational and time management skills
